Job Description

The billing associate is responsible for supporting the Integrative Medical Practice with duties and projects related to the billing function for the office. These duties and responsibilities include; coordination of day-to-day efforts and communication with our external billing partner, researching disputed invoices, fielding calls from patients and insurance companies, validating and processing customer refunds, posting of daily patient payments, creating claims for cash transactions, daily use with the electronic medical record, daily closing and balancing of payments and receipts. Under the supervision of the Practice Administrator, this position requires an individual who has the ability to work independently, work well under pressure, is analytical, detail oriented, well organized and has excellent problem-solving skills. A high level of professionalism, and strong communication skills required. This role also will handle items related to laboratory billing, credentialing, and training of providers and staff.

Responsibilities:

  • Understanding of Primary Care/Functional Medicine/Medical Practice billing and laboratory processes.
  • 3-5 years experience in a billing role for a medical practice.
  • Exposure and understanding of Lab processes within a medical practice.
  • Excellent communication skills, oral and written.
  • Follow proper procedures and HIPAA protocols to assure that patient records are complete, accurate and current.
  • Previous experience of leading people in a fast-paced patient service setting.
  • Ability to build strong working relationships with your team.
  • Ability to effectively manage difficult conversations with team members and patients.
  • Ability to challenge the ‘status-quo’ confidently and continuously and effectively manage conflicting priorities in the workplace.
  • Ability to contribute to improving access for patients, including managing change, developing new systems and procedures.
  • Act as primary liaison between practice, billing/lab vendors and manage all items related to these core areas.
  • Resolve denial and AR issues, answer patient phone inquiries, train and/or audit new or existing employees as well as our outsourced partners.
  • Assist management with day to day processes, as needed.
  • Strong technology skills and the ability to help staff/providers troubleshoot technical issues.
  • Serve as a liaison to patients with inquires about the Raby Institute and their specific account/experiences.
  • Assist in communication and education to new or existing employees.
  • Interact with facilities’ contacts when necessary to gather or clarify information.
  • Answer telephone inquiries from patients in a professional and courteous manner.
  • Serve as a go-to for upset, confused, difficult patients/callers.
  • Make appropriate adjustments or corrections to patient accounts to update information (i.e. discharge date, modifiers, and insurance information).
  • Comment information on patient accounts regarding action that has or will be taken on the account.
  • May interact with outsource partners/vendors to maintain and monitor quality of provided work and adherence to contractual obligations.
  • May participate in client specific training with outsource vendors/partners as needed.
  • Support Raby Institute goals and objectives.
  • Recognize and respect the confidential nature of information processed.

 

Education/Experience Requirements:

  • 2-5 years of experience in a medical practice/billing setting.
  • Bachelor’s Degree or equivalent.
  • Computer competence: eCW or other EMR experience preferred.
  • Ability to manage multiple priorities.
  • High degree of responsibility, discretion, and integrity relative to the acquisition and
    dissemination of highly confidential information.
  • High degree of attention to detail and trustworthiness.
  • Comfortable talking with people about money and asking for payments.
  • Comfortable dealing with numbers and the processing of financial information.
